Enrollment Verifications

Verification of Enrollment and Degree Status

The University Registrar's Office is responsible for certifying student enrollment and degree status. The University Registrar maintains both past and present student records but cannot verify future enrollment. Students are not considered Washington and Lee students unless they are currently enrolled at W&L.

Student Self-Service Verification (NEW!)

Students can access enrollment verification services with the National Student Clearinghouse through their secure and trusted site (click here to go to WebAdvisor). Access is available 24 hours a day, 7 days a week. Please note that personal information is required at login (SSN and birthdate) because these are the personal identifiers used by the NSC and the government for enrollment verification tracking.

To utilize this service, use the secure login to the National Student Clearinghouse (NSC) located in the WebAdvisor Student menu. At the NSC web site, follow the login and menu instructions.

The National Student Clearinghouse, a non-profit association founded by the higher education community, streamlines the student record verification process for colleges and universities, current and former students, lending institutions, employers, and other organizations. The Clearinghouse maintains a comprehensive electronic registry of student records that provides a single, highly automated point-of-contact for organizations and individuals requiring timely, accurate verification of student enrollment, degree, and loan data.

On-Campus Verifications

Students can request enrollment verifications in person by coming the University Registrar's Office in Early-Fielding. Certification letters are usually prepared within 24 hours.

If the enrollment verification requires the completion of a form were grade-point average information is required, your request must include your signed release. For verifications to the Department of Motor Vehicles, which require a letter and official transcript, be sure to also request a transcript.

*Note: We will officially certify your enrollment only for the term(s) in which you are actually enrolled. Enrollments for a future term are processed after the first day of the new term. We only indicate "anticipated enrollment" for future terms if a verification needs to be sent prior to the start of term.

Student Loan Deferment Processing

Washington and Lee University participates in the National Student Clearinghouse for all loan processing. Three times a term (after the add/drop period, at mid-term, and after finals), W&L submits a report of students' enrollment status to the Clearinghouse, which, in turn, supplies verification of enrollment to lending agencies.

If your lender needs a deferment form processed, bring the form only (no envelopes needed) to the University Registrar's office in the University Center. We will forward all deferment forms to the Clearinghouse, which will verify your enrollment to your lender. W&L does not supply this information directly to lending agencies. The University Registrar's office sends deferment forms to the Clearinghouse in a timely manner (within 1-2 days); however, the Clearinghouse cannot process the deferment until the beginning of a new term, after the beginning of term report has been submitted by W&L.

If you registered late or had a change in enrollment status, this information may not be reported until the submission of our next Clearinghouse enrollment update. The Clearinghouse asks that if you receive a collections letter from a servicer, you do the following:

 1. Call your lending agency to see if a deferment form was received between the time the Clearinghouse supplied the information and the lending agency sent the collection letter to you.

 2. If, after calling the servicer, it still appears that the deferment has not been processed, call the Clearinghouse at 703-742-7791 and ask to speak to a Student Service Representative. The representative will verify when your deferment form was received by the Clearinghouse, the date the deferment was certified and mailed, the enrollment status that was certified, and where the forms were sent.

 3. If an emergency exists – for example, you are 150 days delinquent and being threatened with default – the Clearinghouse will intervene on your behalf by faxing another enrollment certification to your servicer. Further, it will work with your servicer to ensure that your form is processed on a high-priority basis.
